Consultation The first step in the process is a free consultation of up to two hours, during which we'll create a rough event blueprint detailing the general who, what, when, where and how of the event, and an agreement on the next step. Proposal (without venues) After the consultation, Ginger Donnan Events will prepare an Event Concept Proposal within one week. The proposal will formally outline the results of the consultation, and will also include a proposed Event Implementation Fee (EIF), which is an estimate of the cost of services for implementing the event. Event Implementation Fee The EIF is based on an approximation of the hours required to manage the project through completion. The EIF does not include travel or other out-of-pocket expenses, which are billed to you at cost. Additional services increase the event budget and the EIF. (For example, will you manage invitations that "bounce back" because of out-of-date addresses, or will we?) Changes to pre-selected services may increase the budget but will not affect the EIF. You have the authority to pre-approve all budget increases. You are responsible for all vendor invoices and other expenses; the EIF covers Ginger Donnan Events' services only. Master Event Plan Once the Event Concept Proposal and Event Implementation Fee are approved, Ginger Donnan Events will begin work on the event and develop a Master Event Plan, a working document of services, vendors (including venues), budgets (including the EIF), timelines and all other details necessary for the seamless execution of the event. Ginger Donnan Events will maintain consistent communication with you through the development of the event providing progress reports and an updated Master Event Plan.
