Rescue Event Planning

I am often contacted by law firms whose large-scale or high-profile events are overwhelming their marketing team with the tasks and details needed to produce the event successfully. While I always recommend contacting an event planner before the going gets tough, I’ve learned that we can get-going with just 3-6 weeks notice if everyone has a clear picture of their roles and responsibilities. So we developed a quick-pick list of short-term event planning services to rescue our legal marketing friends, but helpful for other event planners as well:

REGISTRATION RESCUE

You need this if … you’re waking up in the middle of the night dreaming of clients out in the cold, standing on registration lines like tourists at the TKTS booth.

We arrive early, handle guest check-in at the registration desk, and clean up, so you can focus on developing relationships with your attendees, rather than managing logistics. Give us your guest list three days before and we’ll print and stuff your name tags too.

LOCATION RELATIONS

You need this if … you think the terms apron, boneyard and crescent all refer to things in the kitchen and you’d like to keep it that way.

Following your site selection and contract signing, we facilitate venue arrangements through clear and consistent communication in advance of the event and manage the needs that arise on-site during the event.

VENDOR RE-DEVELOPMENT

You need this if … you’ve talked to your go-to AV guy about microphones and a screen but can never seem to get through the estimate sitting in your inbox, especially since his equipment descriptions don’t contain any vowels.

We finalize proposals from vendors and manage their tasks through the event, including catering, consulting, destination management, entertainment, event design, graphic design, photography, printing, promotions, production (audio-visual, lighting, staging, videography), and transportation, among others.

The TASKMASTER

You need this if … every to-do on your legal pad is turning into you-do-two (because each task takes more steps than expected) or you-do-too (because swamped team members need more advance notice).

We lay out the list of roles and responsibilities in a detailed timeline, from the start of our involvement through the post-event debrief, and check in regularly with each person involved to report back as each task has been accomplished.

BRIEF RELIEF

You need this if … it all started with one partner, but nine others keep calling and sidelining your day as you go on a wild goose chase for just “one more thing” they need to know about the event.

We develop and update a Master Event Plan of all the services and event details, from the start of our involvement in the event planning process, and provide it to you as a reference on a regular basis.

Fall Events Almost Finished

This autumn was our busiest yet with seven single day events in New York and New Jersey and three multiple-day conferences in Chicago, Philadelphia and Baltimore.

We started the season by helping a law firm with a client conference at the Harvard Club in NYC when they were short-staffed. Ten days later we moved downtown for the Autism Speaks to Wall Street Chef Gala to manage the check-in process and volunteers. Then, mid-October, it was time for the five New Jersey Light the Night Walks that take place on two simultaneous Saturdays. One of our biggest projects of the year, we started working on the logistics for these events back in March and were thrilled to see the growth in attendance and funds raised by the Leukemia & Lymphoma Society.

This month, we executed two more of Public Interest Projects’ convenings, including our third for the U.S. Human Rights Fund and our first for the Elev8 middle school initiative, a conference that ends today. These events included booking travel for over 100 people each and coordinating meeting, meal and transportation needs.

None this would have been possible without the help of such a dedicated team. Now it’s time for the rest and recuperation that comes with the holidays and planning for 2012 events, including the 5th Annual Communities for Education Reform Convening.

We helped a law firm client with the on-site management of their breakfast seminar at the Harvard Club for 200 clients and prospects on the topic of capital markets.

April 6-9, 2011

We helped a client with the on-site management of their 3-day partner retreat in New York City. Over 200 law firm partners and their spouses came together for two nights of client open houses showcasing the firm’s new offices, a dine-around New York City and a gala retirement dinner at Cipriani 42nd Street.

We knew how challenging it would be to execute this series of events and that we would need a short-term but dedicated extra set of hands that could do more than just administrative work. Ginger was the perfect answer! We could not have accomplished it all without her support the week before to help get the loose ends tied down. It was invaluable to have another event-focused thinker on our team. June 10-11, 2010

Special events were held at GILT Restaurant and The Bowery Hotel to celebrate the 20th anniversary of the law firm Richards Kibbe & Orbe LLP. In addition to site selection and contracts, budgets and a timeline were drafted and kept up-to-date, invitations, decor, music and photography were arranged and on-site staff was provided for greeting and check-in of the 600 guests in total.

March 4-6, 2010

We helped a client with the on-site management of their 3-day partner retreat in Florida. Over 200 law firm partners came together for the first time in three years to collaborate and get to know each other better.

We had less than four months to plan our partner retreat in Florida. Our first question was “can we bring Ginger?” She brings her wisdom, professionalism and sense of calm to every event on which she helps us. As we walked her through our plan, she helped us make sure all details were in place (without making us feel she was taking over). She was invested in our success and took responsibility for certain tasks that let us focus on other priorities. February 5-10, 2008

In 3 months time, 6 days of events were organized for a large corporate law firm that included registration, hotel, car service and other arrangements for 550 people, as well as a 50-person dinner, two 550-person receptions, a 400-person all-day meeting and a 670-person black tie dinner/dance.

I was given a 3 month window to plan a major international partner meeting in New York to be attended by over 400 individuals. In addition I needed to plan a formal Black Tie dinner dance on the following evening to be attended by 700 people. We had to coordinate transportation for guests arriving from over 26 countries and also hosted a series of smaller events around these two major events. I called upon Ginger Donnan to assist me with this mammoth project and was not disappointed. Ginger stayed on top of the planning and coordination, even when she was being pulled in 100 directions at once. She is organized, thorough and always pleasant to work with. For the more education-focused, we have The Newmark School’s Annual Art Show on May 6, which is open to the public for a mere $25 per person (wine, cheese and incredible art viewing included). 

Although we have law firm and pharma meetings, two education conferences and two human rights conferences coming down the pike, those are by invitation only, sorry!

How to Become an Event Planner

It has only been in the last few years that colleges have begun offering in-depth event planning courses and for many recent graduates interested in event planning, it can be tough to find the right stepping stone to an event planning role.

So how do you become an event planner?

Volunteer at work, school or with non-profit organizations to handle parts of an event – anything from greeting guests to printing the name tags. Every experience helps.

Talk to other event planners about how they got into the business.  Ginger Donnan interned at a PR firm while in college, aiding account executives in the implementation of special events, and at the Recycling Division of a Department of Public Works, researching and attending community events for recycling promotions. After becoming the Editorial and Production Coordinator in the Marketing Department of the law firm White & Case, she was the only person available to organize client seminars. Ten years later, Ginger Donnan Events manages events for the professional services and non-profit industries, including client-facing marketing events and fundraisers.
